One of New Zealand’s most trusted not for profit organisations is currently looking for a Personal Assistant / Executive Assistant.

You will report directly to Chief Executive and will be responsible for helping manage the workflow of the CE, maintain key internal and external relationships and working across the senior leadership team to support the deliverables of the group. You will also have two direct reports.

About the role:

  • Provide a personal and confidential personal assistance, diary management and support service for the Chief Executive Officer of Airedale Property Trust with a strong focus on forward planning and time management
  • Manage executives and managers calendars
  • Handle correspondence directed to managers
  • Prepare agenda for Team meetings in consultation with Chief Executive Officers
  • Manage the Board meeting process including scheduling, preparation of agendas, oversee and finalise the preparation and distribution of Board packs and take meeting minutes
  • Collate minutes, reports and other documentation required for CE meetings and distribute agenda packs in accordance with meeting schedule deadlines
  • Managing information and writing briefings/reports on a range of matters
  • Supporting the Senior Leadership Team as and when directed by the CE

What you bring to the role:

  • Experience in an EA/PA/Project Administration role
  • Excellent communications skills including writing skills
  • Advanced ICT skills including document management and presentation skills
  • Project management skills
  • Experience in problem solving, developing and/or managing complex processes
  • Relationship management skills
  • Able to work flexibly and positively across a range of issues
